For accounting firms in Orange County & Los AngelesClients who send their documents before April 10th.
Every busy season is the same: chasing W-2s, 1099s, and K-1s, answering "did you get my stuff?" emails, and extending clients who went quiet. Outside of tax season, it is chasing receipts and bank statements for the monthly close. We set up the systems that do the chasing so your staff can do the work.
Hands-on help for accounting firms in Orange County and Los Angeles.

Sound familiar?
- Mid-March, half your clients have not sent anything and your staff is sending the same reminder email for the fourth time.
- Clients ignore the portal and email you photos of documents one at a time.
- Monthly bookkeeping clients send receipts late, so every close slips.
- You get "what do I owe you?" and "when is my return done?" calls all day.

Our team meets with you in person, learns how your firm actually runs, and sets things up with your team.
The work we take off your plate.
01
Tax document collection with per-client checklists
When: Engagement letters go out in January, or when a new client signs.
What happens: Each client gets a checklist built from last year's return (W-2 from this employer, 1099 from this brokerage, K-1 from this partnership) with a secure upload link. Reminders every few days for whatever is still missing. Your staff sees a board of every client and exactly what is outstanding.
Why it matters: You stop sending generic "please send your documents" emails. Clients know exactly what you need and most of them send it.
02
Engagement letter and organizer follow-up
When: Engagement letters and organizers are sent.
What happens: Text reminders until the letter is signed and the organizer is returned. Clients who have not responded by a date you set get flagged for a call.
Why it matters: Unsigned engagement letters mean work you cannot bill and returns you cannot start.
03
Deadline and extension reminders
When: 30, 14, and 3 days before quarterly estimates, extension deadlines, and filing deadlines.
What happens: Clients who owe estimates get a text with the amount and how to pay. Clients who are going on extension get told what that means and what you still need. Clients with returns ready to sign get a reminder with the e-sign link.
Why it matters: Fewer penalty notices, fewer panicked calls the week of the deadline.
04
Monthly close document chase
When: The first of each month, for bookkeeping clients.
What happens: Each client gets a text listing what you need (bank statements, credit card statements, receipts over a threshold, answers on uncategorized transactions) with an upload link. Reminders until it is in. Uncategorized transaction questions go out as a short list the client can answer by text.
Why it matters: Closes happen on time when the documents arrive on time.
05
Appointment booking and reminders
When: A client wants to meet, or you need to review a return with them.
What happens: They book into your open slots. Reminders the day before, with what to bring. Virtual meetings include the link.
Why it matters: Your staff stops playing calendar tag during the busiest weeks of the year.
06
New client onboarding
When: A new client signs.
What happens: They get a welcome text with a short sequence: how to reach you, how to send documents, what happens next, and a link to the prior-year return upload. Your staff gets a complete intake before the first meeting.
Why it matters: A client who is onboarded well sends documents on time. One who is not calls you with questions.
07
Off-season advisory outreach
When: June through November.
What happens: Clients get a text offering a mid-year tax planning check-in or a bookkeeping cleanup, with a booking link. Segmented by client type so business owners get a different note than individuals.
Why it matters: Fills the quiet months with higher-margin work from clients who already trust you.

A few useful answers.
We have a client portal nobody uses. Why would this be different?+
Because it reaches them where they already are: a text with a link that opens the upload in one tap. Clients who ignore a portal login still respond to a text with their name on it.
Is client data secure?+
Documents go to a secure upload you control, not through the texting system. The texts carry reminders and links, not tax information. We review the setup with you before launch.
Can we turn it off after April?+
Yes, and most firms switch to the monthly close and off-season workflows instead.
