For law firms in Orange County & Los Angeles

Intake that qualifies. Clients who stop calling to ask for updates.

Small firms lose hours every week to the same things: unqualified intake calls, consults that no-show, clients who will not send documents, and "any update on my case?" phone calls. We set up the systems that handle those so your attorneys and paralegals can do billable work.

A Couple Consulting a Lawyer

Sound familiar?

  • Your paralegal spends an hour a day on intake calls that are outside your practice area or cannot pay.
  • Consults get booked and a third of them do not show.
  • You have asked a client for the same documents three times.
  • Clients call for status updates. Each call is 15 minutes you cannot bill.

Our team meets with you in person, learns how your firm actually runs, and sets things up with your team.

The work we take off your plate.

Intake qualification and consult booking

When: A prospective client calls, texts, or fills out the web form.

What happens: They answer a short set of questions: practice area, what happened, when, any deadlines, how they heard about you. Matters outside your practice areas get a polite referral message. Matches book a consult into your open slots. Your team gets a summary before the call, with a flag for anything time-sensitive.

Why it matters: Your staff talks to qualified prospects only. Nobody misses a statute deadline because the intake sat in a voicemail.

Consult reminders and no-show reduction

When: Two days and two hours before a consult.

What happens: Text reminder with what to bring, how to join if it is virtual, and a one-tap reschedule. Unconfirmed consults get a call from your team.

Why it matters: A consult that shows is a client who signs.

Engagement letter and retainer follow-up

When: An engagement letter is sent.

What happens: Day 2, a text reminder with the e-sign link. Day 5, another. Day 10, a note that the matter cannot start until it is signed and the retainer is received.

Why it matters: Signed engagement letters are revenue. Unsigned ones are hours you already spent.

Client document collection

When: A matter needs documents from the client.

What happens: The client gets a checklist specific to their matter and a secure upload link. Reminders every few days until each item is in. Your paralegal sees what is missing without opening the file.

Why it matters: Document chasing is the single biggest drain on paralegal time in a small firm.

Proactive case status updates

When: A matter hits a milestone (filed, served, hearing set, discovery sent, settlement offer received).

What happens: The client gets a short, plain-language text that your attorney approves once as a template. Clients can reply, and replies go to the right person.

Why it matters: Informed clients do not call. They also do not leave bad reviews about communication, which is the top complaint against small firms.

Invoice and trust replenishment reminders

When: An invoice is sent, or a trust balance drops below your threshold.

What happens: A text with the amount and a pay link. Reminders at 7, 14, and 30 days. Trust replenishment requests go out automatically when the balance falls below what you set.

Why it matters: Collections are awkward and slow when a person has to do them. They are neither when a system does.

Review request after a matter closes

When: A matter is closed with a good outcome.

What happens: A thank-you text from the attorney with your Google review link. Only sent for matters your team flags.

Why it matters: Prospective clients read reviews before they call. Most firms never ask.

A few useful answers.

What about confidentiality and privilege?

Nothing substantive about a matter goes through these systems. Intake collects contact information and a short description. Status updates are templates your attorney approves. Document uploads go to a secure link you control. We walk through this with you before anything is built.

Does it give legal advice or answer legal questions?

No. It collects the question and gets it to a person. It never advises.

Who runs the conflict check?

Your staff. The intake gives them the names they need to run it before the consult.

Let's take the busywork off your desk.

Start with a conversation.
